Club Avandra – Agency Terms of Business
Club Avandra Limited, a company registered in England and Wales number 16263453, with registered address 2nd Floor Nucleus House, 2 Lower Mortlake Road, Richmond, Surrey, United Kingdom, TW9 2JA (“Club Avandra”, “we”, “us”).
Club Avandra has carefully selected travel partners to provide exclusive trips to its members. All hosts are sourced and arranged by Club Avandra to enhance our members’ trips but do not form part of any travel arrangements booked.
1. CONTRACT
Club Avandra acts as an agent on behalf of the travel partners providing the travel arrangements featured on our website. These are the terms on which we will make your trip available. When making your booking you will enter into a contract with the travel partner named on your receipt(s) and booking information provided by the travel partner. You assume all risks associated with travel, including but not limited to changes in personnel including hosts. You will enter into a contract for your travel arrangements with our carefully selected travel partners.
You accept that Club Avandra is not responsible for any travel arrangements and will have no responsibility to guests under the Package Travel and Linked Travel Arrangements Regulations 2018. For full details about your travel arrangements and the terms and conditions attached to your chosen trip, please refer to the travel partner’s terms and conditions along with your booking documentation. We advise you to read these carefully as they do contain important information about your booking. Please ask us for copies of these if you do not have them.
Our Terms of Business are governed by English Law and the jurisdiction of the English Courts. You may however, choose the law and jurisdiction of Scotland or Northern Ireland if you live there and wish to do so. All travel arrangements which we advertise or promote are not an offer by us to sell any travel arrangements, but an invitation to you to make an offer to the principal(travel partner) of the arrangements. We are free to accept that offer on behalf of those suppliers or to reject it.
2. BOOKING DETAILS
Your booking will be made directly with the travel partner who will provide all relevant details to you prior to booking.
Please check that all names, dates and timings are correct on receipt of all documents and advise the travel partner of any errors immediately. Any changes to these details may incur charges which the travel partner will advise you of prior to booking.
Please ensure that the names given are the same as in the relevant passport. The booking information that you provide to us will be passed on only to the relevant travel partner/principal of your travel arrangements or other persons necessary for the provision of your travel arrangements. The information may be provided to public authorities such as border control or immigration if required by them, or as required by law. This applies to any special category (sensitive) information that you provide when making your booking, details of any disabilities, or dietary and religious requirements. In making your booking, you consent to this information being passed on to the relevant persons. Certain information may also be passed on to security or credit checking companies. If you are travelling to the United States, the US Border control and Border Protection will receive this information for the purposes of preventing and combating terrorism and other transnational serious crimes. If you travel outside the European Economic Area, controls on data protection may not be as strong as the legal requirements in this country. If the travel partner cannot pass this information to the relevant suppliers, whether in the EEA or not, they will be unable to provide your booking. Full details of the travel partner’s data protection policy are available upon request.
3. PAYMENT
To secure a provisional place on an upcoming trip, you are invited to pre-register by submitting a refundable deposit of £300 the travel partner. This payment confirms your interest and reserves your place on a first-come, first-served basis.
Please note the following conditions:
- The trip will only proceed if a minimum number of participants is reached. The minimum numbers of members required for each trip to proceed will be made available to you prior to booking (see clause 11).
- If the trip proceeds, all pre-registered participants will be notified and asked to pay a non-refundable deposit to the travel partner of 15% of the total cost of the trip to the travel partner to confirm their booking. The refundable pre-registration payment will be deducted from the total deposit required for the booking.
- The remaining balance will be due by the final payment date, as outlined in your booking confirmation. If full payment is not received by the balance due date, we will notify the travel partner who may cancel your booking and charge the cancellation fees set out in their Terms and Conditions.
By submitting your pre-registration payment, you acknowledge and accept these terms. We appreciate your understanding and look forward to you joining us and bringing this experience to life.
4. HOSTS
While we endeavour to assign hosts as advertised to the trips arranged by our travel partner principals, we reserve the right the right to substitute hosts or modify the itinerary due to illness, emergencies, or other events beyond our control. Such changes do not constitute a significant change to your travel arrangements and will not be grounds for cancellation or refund of your travel arrangements from either us or the travel partner. Club Avandra and the travel partner shall not be liable for any loss, inconvenience, or expense arising from changes in host availability.
5. CANCELLATION and AMENDMENT
Any cancellation or amendment request must be sent to the travel partner in writing in accordance with the documents issued to you and will not take effect until received by the travel partner. If you cancel or amend your booking the travel partner may charge the cancellation or amendment charge shown in their Terms and Conditions (which may be 100% of the cost of the travel arrangements).
6. INSURANCE
Most travel partners require you to take out travel insurance as a condition of booking with them. In any event, we strongly advise that you take out a policy of insurance in order to cover you and your party against the cost of cancellation by you; the cost of assistance (including repatriation) in the event of accident or illness; loss of luggage and money; and other expenses. Failure to disclose relevant information will affect your insurance.
7. FINANCIAL PROTECTION
All the package holidays our travel partners sell, come with protection for your money. Package holidays are financially protected by the package organiser (the travel partner) and confirmation of the financial protection arrangements available will be provided to you by the travel partner prior to booking. When you buy an ATOL protected flight or flight inclusive holiday from us you will receive an ATOL Certificate. This lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong.

8. DELIVERY OF DOCUMENTS
All documents (e.g. invoices/entry passes/Insurance policies) will be sent to the lead passenger by the travel partner.
9. PASSPORTS, VISAS AND HEALTH
We can provide general information about the passport and visa requirements for your trip. Your specific passport and visa requirements, and other immigration requirements are your responsibility, and you should confirm these with the relevant Embassies and/or Consulates. Neither we nor the travel partner accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements. Please note that these requirements may change between booking and departure. Most countries now require passports to be valid for at least 6 months after your return date. Please take special note that for all air travel within the British Isles, airlines require photographic identification of a specific type. Please ask us for full details. We can provide general information about any health formalities required for your trip, but you should check with your own doctor for your specific circumstances.

10. FINAL TRAVEL ARRANGEMENTS
Please ensure that all your travel, passport, visa and insurance documents are in order and commensurate for your trip. Failure to obtain the necessary documents may result in an inability for you to participate in your trip. We will not be responsible in the event that you are unable to travel due to insufficient documentation. It may be necessary to reconfirm your flight with the airline prior to departure. If you fail to reconfirm you may be refused permission to board the aircraft and you are unlikely to receive any refund.
11. MINIMUM NUMBERS
If the minimum number is not met, the trip will be cancelled and all holding payments paid to the travel partner will be fully refunded.
If the number of persons enrolled for the trip is smaller than the minimum number advised to you the travel partner will notify you of the termination of the contract within the period stated in the contract but not later than—
(i)in the case of trips lasting more than 6 days, 20 days before the start of the trip;
(ii)in the case of trips lasting between 2 and 6 days, 7 days before the start of the trip;
(iii)in the case of trips lasting less than 2 days, 48 hours before the start of the trip.
If the travel partner is forced to cancel your trip due to the minimum numbers required for the trip to take place not being achieved, the travel partner will refund to you all payments within 14 days with no further liability to you by either us or the travel partner.
12. COMPLAINTS
Because the contract for your travel arrangements is between you and the travel partner, any queries or concerns relating to the travel arrangements should be addressed to them. If you have a problem whilst on holiday, this must be reported to the travel partner or their local supplier or agent immediately. If you fail to follow this procedure there will be less opportunity to investigate and rectify your complaint. The amount of compensation you may be entitled to may be reduced or you may not receive any at all depending upon the circumstances. If you wish to complain when you return home, you should write to the travel partner. You will see the name and address plus contact details in any confirmation documents the travel partner sends to you.
